Job Description

Executive Assistant – £45,000 + bonus – Cobham

An exciting opportunity has arisen with our clients innovative market leading organisation for an internationally acclimatised Executive Assistant to join their team. Within this role you will be responsible for helping the Leadership team by completing administrative and operational tasks. Your duties and responsibilities include:

Supporting President (based in US)

Extensive Diary management
Proactively schedule meetings & calls – across multiple time zones
Extensive travel (flight, check-in, hotel, transfers including a full agenda to show all)
Manage a multitude of frequent changes at short notice
Screening calls & emails
Singing documents
Expenses & approvals for direct reports
Ad-hoc tasks Support CFO (based in UK)

Signing documents
Travel (worldwide, including visa's)
Expenses & approvals for direct reports
Support other members of the leadership team

Work closely with EVP of HR on various projects & admin support
Work closely with EVP of Marketing on various projects & admin support
Onboarding new members of the Leadership team / President's direct reports.
Ad-hoc tasks
Meeting support

Full logistical support for all meetings including Leadership team (hotels, taxis, activities, dinners etc.)
Create agendas, ensure action points are followed up & store all presentations.Other

Proactively maintain org chart
Creating & maintaining annual calendar
Work with other admins in the office, to ensure a great office experience Work outside of 'normal' working hours

You are often required to respond to emails, teams messages & texts outside of 'normal' working hours.

Flexibility to travel when needed

In order to fully support the Leadership team & meetings, you may be required to travel (appx. 6 per year).


5+ years of work experience as Executive Assistant (or equivalent) in an international company
Proficient user of MS Office
Experienced communicating with Senior Management and C-Level stakeholder
Outstanding interpersonal and communications skills
Problem-solving attitude
Fluent English skills, both written and spokenBenefits:
