Job Description

The successful candidate will work within the Defence & Security Team as the Operations Support Administrator. The organisation currently holds several prestigious framework agreements with the Ministry of Defence where customers worldwide require both products and services.

The candidate will be primarily responsible for maintaining, developing, and updating our Defence catalogue used by customers via Crown Commercial Service (CCS) Frameworks. In conjunction with the E-Commerce Manager, they will complete routine pricing updates, manage Ci codes and upload a new version of our catalogue weekly, for approval by Defence Commercial. They will ensure that products remain current and relevant to our customer’s needs, assisting Account Managers (AMs) inputting data and creating codes as required.

In addition, they will be responsible for supporting AMs and Business Unit (BU) Managers in maintaining business outputs through general administration of internal systems such as SAP, Ci Purchase Order, Ci quoting tools and through the collation of information in support of competition bids and project spreadsheets. They will be expected to work alongside the primary BU PM, users, and customers to assist in the coordination of project and logistics plans, solving any conflicts that arise to minimize potential risks. Working confidently and effectively with stakeholders both internally and externally to maintain operational output.

Other key tasks include:

* MI reporting. Generating reports on specific catalogue spend monthly for Director, Defence and Security. Maintaining a working relationship with Defence Commercial and providing feedback and updates on catalogue activity and issues.

* Ops Support. Assisting in the management of day-to-day operational aspects of project(s). Review of production requirements and liaison with the Welsh Ops facility. Maintaining an overview of current CCS competitions and supporting the allocation of ITTs across the BU. Assisting in Tender submissions and uploading documentation via the CCS portal.

Skills and Experience

Essential

* High level of organisational skills.

* Possess the ability to prioritise workload

* Excellent customer service skills

* Good communication skills

* Accuracy and attention to detail

* Competent in MS office suite i.e. Word, Excel, PowerPoint, etc

Desirable

* Formal Project Management qualifications

* SAP experience

* IT Catalogue administration

* MS Excel expertise i.e. formulas, macros, data formatting, management of charts & tables
